The Challenge

The agency's Service Delivery and Design team was responsible for critical program reporting, but was hampered by highly manual and time-consuming processes. Analysts had to pull data from various disconnected internal and external sources, leading to significant challenges:


  • Extreme Inefficiency: One of the most critical recurring reports required two full days of manual data compilation and validation each cycle.
  • Data Integrity Risks: Manual data handling increased the risk of human error, leading to inconsistent and unreliable reports.
  • Delayed Insights: The slow pace of reporting meant that valuable program insights were often out of date by the time they reached stakeholders.
  • Misallocated Resources: Highly skilled team members were spending their time on low-value data wrangling instead of high-value program analysis and improvement.

 

The Project & Solution

 

The project was a targeted process automation initiative designed to replace the most inefficient reporting tasks with a robust, automated solution.

  • Automated Reporting Engine: A custom solution was developed using Python scripting to fully automate the end-to-end reporting process. The script connected to all required internal and external data sources to extract, transform, and consolidate the necessary information.
  • Sophisticated Business Logic: The automation was designed to handle real-world complexities. This included building in logic to identify and flag potential "fuzzy matches" in the data and creating a user-friendly "override function" that allowed analysts to apply their expert judgment where needed.
  • Performance Optimization: Existing data queries were dissected and optimized, dramatically increasing data retrieval speeds and overall system efficiency.
  • User-Centric Delivery: The final, validated report was automatically generated and delivered in a cleanly formatted Excel file, ensuring a seamless transition for end-users and requiring no new software to learn.

 The automation solution delivered transformative results for the team, creating a clear and immediate return on investment.

  • Radical Time Savings: Reduced the primary report generation process from 2 days (16 hours) to 5 minutes—a 99.7% reduction in time.
  • Enhanced Data Integrity & Consistency: Eliminated the risk of manual errors, providing stakeholders with reliable and consistent data for decision-making.
  • Freed Up Specialist Time: Freed the service delivery team from tedious, repetitive tasks, allowing them to focus on strategic program analysis, mentoring teammates, and designing service improvements.
  • Enabled Proactive Insights: The speed of the new process enabled the development of a new monthly insights report, providing stakeholders with timely data to better evaluate program effectiveness.
